How Do I Get Paid As A Locum Doctor?

Dear Prescript Doctors,

As the founder of Prescript, I’m dedicated to ensuring that our service excels in every aspect, particularly when it comes to seamless and efficient payment processes for our doctors. Our commitment is to ensure that our clients (hospitals, clinics, and medical practices) and you, our valued locum doctors (consultants, registrars, and RMOs), experience hassle-free payment transactions.

Understanding how you get paid as a locum doctor is crucial. Here at Prescript, we have streamlined the payment methods to four options. In advance of your locum placement, we will confirm which one that applies to you. Skip to the relevant section for an in-depth overview.

  1. Paid Directly by the Health Service (Payroll)

  2. Paid Directly by the Health Service (Invoice)

  3. Paid via Prescript’s Payroll Provider

Paid Directly by the Health Service (Payroll)

What to Expect:

  1. Your rate (hourly/daily) is confirmed in your Prescript Locum Booking Confirmation.

  2. Details about whether the rate includes superannuation are specified.

  3. Payment processes and schedules are confirmed in advance.

  4. You will typically submit weekly timesheets approved by the health service

  5. ⏰ Send a copy to finance@prescript.com.au by 10 am Monday


Paid Directly by the Health Service (Invoice)

What to Expect:

  1. Your hourly or daily rate will be confirmed in advance by Prescript in your Prescript Locum Booking Confirmation

  2. We will ask you about your current business structure - company, trust, partnership, sole trader.

  3. We will check it meets the health service requirements ℹ️ please note that most health services prefer to receive invoices if your business structure is a Company (Pty Ltd)

  4. Some health services will accept invoices from sole traders. Invoicing as a Sole Trader can result in tax and super obligations for the health service—for example, you may be an employee for superannuation guarantee purposes. This means your daily rate will include super and be withheld.

  5. You may need to provide evidence of your business insurance for the health service to review in advance e.g. Public and Products Liability (in your business structure name) + Professional Indemnity Insurance + Workers compensation insurance or Income protection

  6. If requested, we can share invoice templates that can be used

  7. Timesheets may be required to accompany your invoices; again, Prescript will confirm the process / weekly rhythm with you in advance.

  8. ⏰ Send a copy of your invoice to finance@prescript.com.au by 10 am Monday

ℹ️ Prescript cannot advise which business structure you should choose, but we can share the health service requirements. We recommend you talk to your tax, business or legal adviser.

ℹ️ Prescript cannot provide business insurance advice, however we can share the health service requirements. Typically, we see the following requested:

Public and Products Liability
• for at least $20,000,000 for each individual claim or series of claims arising out of a single occurrence
• public & product liability insurance are issued in the name of your business structure, not in your personal name.
• Must be purchased by the business (or contractor), and the business must advise who is working in the practice and the nature of the healthcare provided

Professional Indemnity Insurance
• for at least $10,000,000, for any one claim or series of claims arising out of a single occurrence
• provided to individuals (will be in your name as a doctor)

Workers compensation insurance or Income protection
• (this may be included in your standard medical indemnity coverage)


Paid via Prescript’s Payroll Provider

What to Expect:

  1. Your hourly or daily rate details (and whether the super is inclusive or exclusive), will be confirmed in advance by Prescript

  2. Payment will be via Prescript’s expert payroll partners

  3. Salary packaging options available

  4. Insurances provided: Public and Products Liability, Professional Indemnity Insurance and Workers compensation insurance          

  5. We, along with our payroll partners, will guide you through the process / rhythm of being paid correctly and promptly.

  6. Typically you will complete a weekly timesheet and have it approved by a Consultant, HoD or Med Admin

  7. ⏰ Send a copy of your timesheet to finance@prescript.com.au by 10 am Monday


Paid via Prescript (Invoice)

What to Expect:

  1. Your hourly or daily rate will be confirmed in advance by Prescript in your Locum Booking Confirmation

  2. The rate will be + GST (if you are registered for GST)

  3. Any tax or super payments are your responsibility.

  4. Prescript will confirm the process / weekly rhythm with you in advance

  5. Please note that only a Company - Pty Ltd or a Trust can invoice Prescript directly

    • ℹ️ Prescript does not pay invoices from business structures that are Sole Trader, Partnership or some Trusts.

  6. You must provide evidence of business insurance: Public and Products Liability (in your business structure name) + Professional Indemnity Insurance + Workers compensation insurance or Income protection.

  7. Prescript can share an invoice template that can be used

  8. Timesheets may be required to accompany your invoices, again Prescript will confirm the process / weekly rhythm with you in advance.

  9. ⏰ Send a copy of your invoice & timesheet to finance@prescript.com.au by 10 am Monday

  10. Prescript will need to receive copies of the following insurance:

    • Public and Products Liability
      • for at least $20,000,000 for each individual claim or series of claims arising out of a single occurrence
      • public & product liability insurances are issued in the name of your business structure, not in your personal name.
      • Must be purchased by the business (or contractor) and the business must advise who is working in the practice and the nature of the healthcare provide

Please note: Prescript cannot provide financial advice or advice on business structure, insurance, tax, or super.

FAQ - WHAT INSURANCE DO I NEED?

We always recommend obtaining your own advice about appropriate medical indemnity coverage from an insurance provider.

If you use a business structure to invoice a health service (or Prescript) directly, you may be asked to provide evidence of Public and Products Liability insurance, Professional Indemnity Insurance, Workers’ compensation insurance, or Income protection. Again, get advice so you have the proper protection in place.

FAQ - CAN I INVOICE AS A SOLE TRADER?

Prescript cannot provide any advice on a business structure. We can pass on the requirements of the health services we work with, and many prefer to deal only with a Company—Pty Ltd or a Trust. This means that invoicing as a sole trader is not an option for locum positions at those clients.

Some health services will accept invoices from Sole Traders (this is becoming less available). When you invoice as a sole trader, the health service may have tax and super obligations— for example, you may be an employee for superannuation guarantee purposes. This means your hourly/daily rate will include super and be withheld.

FAQ - I AM VISITING FROM OVERSEAS - DO I NEED AN AUSTRALIAN BUSINESS STRUCTURE?

If you work in Australia for no more than 183 days // 6 months of any given 12-month period, you will most likely be able to invoice using your overseas registered business.

Insurance coverage must be confirmed by the health service you are providing the service to.

For example, sometimes Australian/NZ-trained doctors living overseas decide to do a one-off locum. They can fill in a “Statement by a supplier not quoting an ABN” form from the ATO, which means you can locum with less bureaucratic burden.

Health services must approve temporary ABN waivers in advance (ask first!), and you may need to provide an accompanying letter from your accountant saying you are meeting your tax obligations in your country of residence.

FAQ - Who pays for travel, accommodation and car hire?

Different rules apply to different locum placements. Prescript will clarify travel costs, accommodation bookings, and car hire with you in advance. Top tip: Don’t pay for anything yourself that requires reimbursement without approval in writing!

Inside Story - Celebrating a Unique Rural Generalist Locum Experience in The Kimberleys

Introducing the remarkable Dr Shahab Siddique, an experienced Rural Generalist who partnered with Prescript to discover extraordinary regional and rural GP locum opportunities.

Excited to delve into the depths of Australia's vibrant history, with a particular fascination for ancient Aboriginal heritage and rare wildlife encounters, Dr Siddique sought opportunities that would grant him the chance to explore and connect with the country's rich cultural tapestry.

Dr Siddique’s Requirements and Prescript's Tailored Search:

Max Drakeley (Prescript’s Senior Recruitment Partner for GPs) has a wealth of knowledge and expertise in helping GPs find their ideal opportunities. He jumped at the opportunity to design a tailored search for Dr Siddique that would best suit his clinical & lifestyle needs and preferences.

Max was able to connect him with exciting new positions at various health services, allowing him to try different locations and decide where to be based for his next experience.

During his time off, Dr Siddique and his family enjoyed a range of activities, from swimming in crystal clear waters to hiking through stunning national parks. They discovered must-see locations, including the breathtaking Cable Beach and the world-famous Horizontal Falls.

Dr Siddique’s work in the Kimberleys made a significant difference, earning him repeated requests from health services in the area. He has become an integral part of the community, making a positive impact both professionally and personally.

Dr Siddique said, "I was faced with many challenges (including medical skills as well as logistically) which I was able to come out on top due to my experience in regional Australia as a locum, as well as through support of people like Max and Marcia."

Meet Jo Weaver - Recruitment Expert For Locum RMO & Registrars

I’m Jo Weaver - Prescript’s Recruitment Partner for Medical Non-Specialists - RMOs and Registrars. I’m delighted to share with you a bit about my experience within the healthcare industry and the path that led me to Prescript.

I've had the privilege of dedicating my career to the ever-evolving realm of health services. From my early days in a bustling Family GP Practice to my current role at Prescript Recruitment, the path has been rich with experiences and growth.

My healthcare journey commenced in the heart of a Family GP Practice in Melton South, Victoria - ‘Station Medical Centre’, where I had the chance to immerse myself in every facet of the clinic. From the welcoming smiles at the front reception to delving into patients' needs, my role encapsulated both the visible interactions and the intricate machinery that keeps a medical practice ticking.

The clinic began as a modest setup, with just two doctors and two receptionists. However, as the patient base expanded and the community flourished, so did the practice. One of the most rewarding aspects was getting to understand the unique needs of our patients and forming lasting connections with them. To this day, it warms my heart to bump into familiar faces from my time there, and to know that I've left a positive impression.

My path then led me to a small rural public hospital ‘Bacchus Marsh Hospital, Victoria’ introducing a fresh chapter of challenges and learning. Here, I forged new relationships with clinical staff across diverse departments – from consulting clinics to theatre services and maternity wards. My interactions with the doctors extended throughout the hospital, and the collaborative environment was incredibly fulfilling.

In this role, maintaining the clinician's schedules, both on a daily basis and for on-call rotations, became a cornerstone of my responsibilities. The intricacies of this task were not without their complexities, yet there was immense satisfaction in bridging critical gaps in the clinical rosters. This ensured that the hospital's various units, whether the theatre, the wards, or after-hours care, remained adequately staffed, safeguarding the quality of patient care. The journey demanded organisation, resilience, adaptability, and the ability to innovate in the face of change – skills that have evolved over time.

Beyond the captivating world of healthcare, I find joy in various pursuits. The allure of crime mystery novels often draws me into their enigmatic narratives, providing a well-deserved escape. Then there's running, a personal challenge I've embraced wholeheartedly, with my sights set on conquering a half marathon by year-end – fingers crossed! And on a different note, the satisfaction of cultivating and consuming homegrown vegetables is a simple pleasure that resonates deeply.

In my current role at Prescript, I work closely with RMOs and Registrars, forming a vital bridge between these dedicated doctors and the communities that rely on their medical expertise. I stepped into my role at Prescript Recruitment with my aspirations clear; I aim to be more than a Recruitment Partner – I envision being a vital contributor to the team and the overall business. My mission is aligned with Prescript’s: to solve the regional doctor shortage in Australia. We aim to facilitate the provision of healthcare services by connecting dedicated locum doctors with the communities that need it most. We Hit Our Goal! Celebrating 1 Million Days of Clean Water for Families in Ethiopia

I am absolutely thrilled to share that we have reached our giving goal of providing 1 million days of clean water access to communities in Ethiopia!

This is a truly momentous achievement that will have a life-changing impact on countless individuals and families in need. Through a pandemic, civil unrest and many challenges in the region, the team on the ground were courageous and continued with the work of restoring wells and providing access to safe water where possible.

It fills me with immense pride to know that we have reached this goal through Prescript's day-to-day business activities. It is with thanks to our doctors and the health services that we work with that we have achieved this incredible milestone.

Waves of positive impact

Our journey towards this goal started in 2020 after a ‘giving planning session’ with the Prescript team. We put our heads together and collaborated to find a new project that meant something to us all and that was going to make a BIG impact. We chose this particular goal because having access to clean water is a basic right. Access to safe drinking water makes a huge difference to the health and lives of so many people. We wanted to make a big impact here in Australia as well as overseas.

Since then, we have been contributing a portion of our revenue towards the Clean Water for Life project. We are so excited to have achieved this milestone and to have made a positive impact on the lives of families in Ethiopia.

Providing clean water access is one of the most essential and basic human needs, and we are humbled to have been able to contribute towards this cause.

Our partnership with B1G1, a global giving initiative, has made this incredible milestone possible. We are proud to contribute to B1G1's Clean Water for Life project, which aims to provide sustainable access to clean water for families in Ethiopia, one of the most water-stressed countries in the world.

The projects we supported funded the construction of hand-dug wells in the Ethiopian province of Tigray, where access to clean water is a critical issue. The provision of clean and hygienic water has had a significant impact on the lives of families in the region.

How did we do it?

Because of you! It is through the incredible work of our Prescript doctors and healthcare organisations that we have reached this milestone. Prescript links our day-to-day business activities to our giving goal.

Celebrating Prescript's Birthday - 8 Years of Solving the Regional Doctor Shortage

We are incredibly excited to be celebrating our eighth birthday and eight years of solving the regional doctor shortage at Prescript. We would like to take the opportunity to look back to our beginnings, significant milestones, and memorable moments along the way.

The Seed is Planted

Prescript had its beginnings back in 2009, after James Hill, Prescript’s Founder, went on a trip to the Northern Territory to see the work of the Fred Hollows Foundation. During his time there, he visited some remote indigenous communities and saw firsthand the lack of health care.

This really impacted James, and he could not shake the feeling that there must be a better way. 

He kept coming back to the same question: “What can we do to make sure that everyone in Australia, no matter where they live, gets equal access to health care?” 

That's where the seed of Prescript was first planted. 

2015: Prescript Launches in Australia

Prescript officially launched in 2015 with a strong focus on helping solve the regional and remote doctor shortage in Australia.

Prescript has come a long way from its humble beginnings at a kitchen table to becoming a leading medical recruitment company with a team of 15. Here are some of our standout milestones from the past eight years.

Opening of the Melbourne Office

After initially only being located in Sydney, the opening of a brand new office in a different state was a significant milestone for Prescript. After opening the Melbourne office in 2019, it is now a team of seven. Our Adelaide office followed shortly!

One milestone moment was welcoming our first-ever fully remote employee, Marcia Beere, who joined our team long before ‘WFH’ became popular. Marcia is Prescript’s Credentialing Team Manager and is located on her idyllic farm on the Bega Valley, NSW.

We have fully embraced the concept of hybrid offices and work-from-home options, enabling our team members to work remotely from places such as the Philippines, Bali, the UK, and Panama.

Launch Of Our Giving Program

One key milestone was setting our first Giving Goal of providing a doctor’s salary in Kenya for a whole year via our association with B1G1. Each time we help a doctor with the next step in their career, we also contribute towards improving health outcomes for people living in poverty overseas. Through the help of our doctors and health services, we have an audacious Giving Goal of providing 1 million days of clean water to rural families in Ethiopia.

ISO 9001 Certification

We are proud to have recently received the ISO 9001 certification. This milestone reflects our commitment to quality and standards and ensures that we continually meet and improve them. Our Operations & Leadership Manager, Stef McLaughlin, led the extensive audit of all our behind-the-scenes processes, and we were delighted to have passed with flying colours!

Prescript’s Locum Support Team

Another stand-out milestone was the launch of Prescript's Locum Support Team, which allows us to provide a high-quality and personalised service to our doctors and health services. Our Locum Support Team comprises Credentialing, Travel Concierge, Prescript Quality Standards, and Finance & Payments. The team takes on the burden of organising everything, making the locum process smooth and efficient.

The Power Of ‘Yes’

A doctor saying 'yes' to a regional role is the only way the doctor shortage can be solved. We love hearing the reasons behind why a doctor says 'yes'. It is a powerful statement of hope that things will get better and seeing the ripples of positive impact that 'yes' has on communities far and wide.

Bridging The Gap

Shifting part of our focus onto Indigenous Health was a truly memorable moment for Prescript; we are proud to be positively impacting the lives of those who require it the most. Our efforts aim to bridge the gap in healthcare access and provide equal opportunities to all Australians, regardless of where they reside.

Telehealth

Telehealth has gone from being necessary due to Covid to being front and centre of healthcare delivery in Australia. GP appointments, geriatric medicine, and psychiatry consultations are just some ways this has become routine. Hard-to-reach areas are now benefiting from specialists available at a touch of a button, and Prescript’s telehealth & teleradiology division has been there to help make this happen.

Launching Our Rural Generalist Division

The division was established to provide healthcare services to in-need communities. We are unbelievably thankful for these rural specialist doctors who sacrifice so much going into regional communities, away from their homes and families, providing highly sought-after medical care, and being located in some of the most remote parts of Australia.

Inside Story: A 5-Star Locum Doctor Journey

Like much of the world, Australia is experiencing major challenges regarding its healthcare workforce. The numbers are clear: Australia's doctor shortage is growing and will only worsen unless solutions are found. These shortages will be particularly acute in regional and rural areas, putting increased pressure on health services to attract doctors.
